ScienceOpen Goes Live with ELO ECM Suite to Digitalize Invoicing and Contract and Customer Management

ELO ECM Suite integrated with QuickBooks automates manual processes and streamlines business operations.

ELO Eliminates Manual Processes – Improves Performance 

Putting research into context, ScienceOpen is the fastest-growing search and discovery platform for researchers, scholars, and publishers. As a platform that hosts publications on its website, ScienceOpen enables publishers to utilize traffic from site visitors to aid in the discovery of their publications or collections of scientific papers. “These capabilities save publishers the hassle of hosting their own platform to promote their content,” said Stephanie Dawson, managing director at ScienceOpen

Before implementing the ELO ECM Suite, ScienceOpen’s manual tasks, such as invoicing, contracts, and customer records, were becoming a bottleneck to the company’s upward growth trajectory. For example, to generate invoices, ScienceOpen used web traffic reports and then created invoices based on traffic to the publisher’s hosted content, a task that became more time-consuming and tedious as the company grew. To address this challenge, Ovitas crafted a unique solution for ScienceOpen using ELO and workflows, which enabled invoice generation without human intervention. “As our company expanded, we needed a solution to streamline our workflow. ELO took our invoicing and customer and contract management to the next level,” continued Dawson. “By automating our business processes, ELO enhances our customer support to ensure high levels of efficiency that fuel growth for both our customers and ScienceOpen.” 

i-Link for ELO was key to Ovitas’ implementation of the ELO ECM Suite at ScienceOpen. A web service, i-Link synchronizes master data between QuickBooks and the ELO ECM Suite. This integration enables automatic routing of documents such as invoices, purchase orders, and customer contracts from QuickBooks into the ELO document management system. In addition, ELO metadata connects orphaned processes. As a central repository, ELO creates a relationship between all content and metadata to create true end-end-document management. Additional features of the ELO ECM Suite include capabilities for:

  • Collaboration via the ELO Feed, a chat-based tool for a simple and transparent way to exchange information and track documents.
